To activate your mailroom account, you need to complete a notarization task. This notarization validates the United States Postal Service (USPS) Form 1583 authorizing a mailroom service operator to open your mail on your behalf.
To complete this task, Firstbase facilitates the option to connect with OneNotary, an English-only third party platform that specializes in remote online notarization. It is important to consider that OneNotary only supports documents in English, if the documentation requested is in a different language it will need to be translated. You can always use a different provider or do a local notarization.
The notarization process can be done by an owner, shareholder or responsible party.
Online Notarization Steps
Follow these steps to complete the notarization task:
1. Go into your Founder's Dashboard, here look for the box that reads "Mailroom activation", click on "Complete Task" and select "Modify Form 1583"
You will see a pop up screen with next steps, click on "Next"
Fill out the information on the next screen. If you are a US resident, you will be asked to provide the following documents to verify your identity:
Primary ID -
- SSN
- Passport
- Driver’s license
- State ID
- Permanent resident card
- Work permit
Secondary ID - Any of the documents listed below can be accepted to verify your address. It must contain your name and the address must match your home address on the form you filled out:
- US State/Territory/Tribal Drivers or Nondriver's ID card
- US Access card
- Passport
- US Permanent resident card
- Current lease, mortgage or Deed of trust
- Home or vehicle insurance policy
- Vehicle registration card
- Voters card
- Uniformed Service ID
- Certificate of Naturalization
- US University ID card
If you are a non-US resident/citizen, you will be asked to provide the following documents:
Secondary ID: Any of the documents listed below can be accepted to verify your address. It must contain your name and the address must match your home address on the form you filled out:
- Current lease
- Home or vehicle insurance policy
- Mortgage or Deed of Trust
- Vehicle registration card
- Voters card
Non-US driver's licenses are not accepted.
Things to note:
*If you don't have the documents required by OneNotary, or wish to use a different notary service, please see this local notarization article.
*If you are a US citizen with no address in the US, then you are also included in the non-US resident/citizen category.
*Bank statements are not valid.
*All documents must be valid, expired IDs won't be accepted by OneNotary.
*When providing a second form of ID, make sure they are up to date. Documents more than one-month-old will be rejected by the Notary.
2. On the next page, you will be required to provide your personal information. Make sure it matches the one you selected in the previous screen.
3. You will be asked to Review the USPS 1583 document;
4. You will be redirected to the OneNotary platform where you will be guided on next steps. Make sure to schedule a free virtual notarization session with our partner, where you will be connected to a certified notary over a secure video call to complete the process;
5. You will need to verify your identity by answering a few identity questions and take photos of your ID -- follow the instructions. Here is a guide on some questions that can help with the notarization process.
